Troop Parent Committee Meeting Minutes

January 18th, 2007

7:00pm, Prince of Peace Church

Attendance:

Sonia, Mike, Mark, Brian, Jill, Rayna, Carol

Communications (Rayna)

  • Troop website review ongoing, not much feedback coming in from anyone anymore

Roundtable Report (Mike)

  • OA elections were discussed

    • Call out will be at Camporee

    • OA will come to troop meeting sometime Jan thru Mar 17th -- make an appointment!

  • Training - University of Scouting Jan 20

  • Camporee April 20, 21 and 22

    • Will be different this year

    • Theme is 100 years of Scouting

    • lots of pioneering, orienteering, old scout stuff

    • Pack 333 leader input

      • attending Camporee is extremely important to the Webelos

      • that is the only reason we are getting Pack 333 Webelos this year (Feb 27!)

      • only 2 Webelos will attend the Treasure Hunt

      • Not because of lack of interest but because of conflicts (Baseball tryouts etc.)

Outdoor/Activities Subcommittee Report (Brian)

  • Tour permits & reservations

    • Completed for Camp Jubilee

    • Still don't have a destination for February

    • March status was not discussed

  • Permission Slips

    • Brian bothered by lack of responsibility by Scouts/Parents in returning permission slips

    • Handing them around the circle is not good, need to use Family File Folders

    • It was suggested that we organize the Family File Folders by patrol and have the patrol leaders make sure that each Scout takes home the contents of his Family File Folder at the end of each meeting

    • This doesn't address prior parent concerns of wanting an adult to pick up the contents of their Family File Folder for various reasons

    • Everyone agreed it would be great if we had all permission slips turned in by the Monday before the outing (whether Scout is attending or not)

    • Discussed at length and found no good solution at this time other than making everyone aware of the problem and encouraging them that a Scout is Courteous.

  • Transportation (Carol)

    • Treasure Hunt should be easy

  • Summer Camp (Mike)

    • Kick off meeting was good

    • 8 1/2 open positions for new webelos

    • cash flow is ok (this has been a problem in the past)

  • High Adventure

    • Kickoff leaders meeting will be at 3pm, Sunday at the Druez home

    • will define crews

    • outline training etc.

  • Equipment Coordinator (Stuart)

    • Yikes!  No Quartermaster!

      • Eric Z turned 18 on us

      • ASPL (Parker) needs to choose a new Quartermaster asap

      • Could wait until March for new job assignments but ASPL will have to handle next two outings! 

    • Bikes need a new home

      • Sonia talked with Marti, the old shed is no longer available

      • We need someone willing to store these 3 bikes or we will have to donate them away

    • Semiannual Inventory Feb 18 at 1pm

      • This is usually lead by the Quartermaster (a Scout) but we don't have one!

      • Need to do something about that shed! 

      • Need to invite adults from Troop Committee to inventory

      • Adults come and dump stuff in the downstairs part and make it unusable for the Scouts!!!

        • The barn is supposed to be for the Scouts! 

        • Scouts need to access it on a weekly basis for meetings

        • Scouts need to access it on a monthly basis for outings! 

        • We all need to keep it clean and organized!!!

        • Court of Honor and Eagle Court stuff should be put away in the loft at all times (except the cart which can stay out)

      • At inventory we need to set up tents to make sure they are whole

      • We need to assign equipment permanently to each patrol

        • We have made a lot of progress on this goal already but not there yet

        • All equipment is numbered

        • Bins have been made in the Barn for each patrols equipment

        • Need to assign numbers to patrols and label their bins

Scout Sabbath (Sonia)

  • Scheduled for Feb 11
  • we typically make a donation to the church
  • a few Scouts and Scouters attend the service in their Scout uniforms
  • some Scouts and Scouters make dutch oven desserts and serve the congregation after the service
  • we should sell pancake breakfast tickets as well
  • we need 2-3 adults to lead this effort

May Calendar (Sonia)

  • May's calendar is getting crowded
  • May 6th is Pancake Breakfast and Eric Z's Eagle Court
  • May 5th-6th is a family campout for both Pack 22 and Pack 333
    • we usually send a small group to
      • run an opening flag ceremony
      • run a round robin of activities in the morninig
      • run a hike in the afternoon
  • This spreads us pretty thin for one weekend
  • Should we consider moving Pancake Breakfast to June 3rd?

Finance Subcommittee Report (again no report)

  • No report prepared

Advancement Subcommittee Report (Jill)

  • February 26th Court of Honor

    • Give out service stars

Uniform/Training Subcommittee Report

  • Recruiting New Scouts meeting next Monday

    • Don't have time for new and improved methods of recruiting need to stay on topic and get our stuff ready we have Webelos visiting in January/February!!!
