Troop Parent Committee Meeting Minutes

October 26th, 2006

7:30 - 8:40 pm, Gelsons Calabasas

Attendance:

Patrick, Sonia, Mike, Lisa, Barry, Rayna, Peggy, Judy, Tara, Stuart, Carol, Bob C.

SM Report (Patrick)

  • Patrick is in town!!!

  • Focus is on outings right now

  • Without Sespe Wilderness area we need to adjust

    • Idlewild area now burning

    • Piedra Blanca, Fishbowls, Cedar Creek all closed

    • Patrick will call about 2nd Piedra Blanca Camp

    • Patrick checking out another Potrero John camp off the 33

    • Any way we will backpack SOMEWHERE on Nov 18-19

  • January Outing and Pow Wow/University of Scouting conflict

    • We will swap the weekends

    • We had a bad date for Pow Wow when we set calendar

    • Pack 333 Webelos Dens verbally invited to January Treasure Hunt

    • Talked about making leather souvenirs for Webelos

  • Eagle Scouts

    • James M. and Sean D. Troops latest Eagle Scouts

    • Drew S. book is in progress

  • Troop Leadership Training (TLT) instead of PLC this month

    • Planning and Goal Setting

    • Servant leadership

    • Lots of enthusiasm and ideas from Scouts

    • Scouts ready to lead the troop

  • Patrol Challenge Outing

    • 5 of 6 patrols participated

    • for many it was 1st patrol outing (as opposed to troop outing)

    • was a challenge for those younger patrols

    • need to work with patrols so they work as a team

    • hope parents and Scouts had fun all over LA

Communications (Rayna)

  • NTR

  • Roundtable Report (Mike)

    • Scout Recruiting Strategies

      • Not enough Webelos to fill all troops, need Scouts from outside Scouting

      • Bring a friend to an Outing idea (perhaps Sea Base outing)

      • New trail to 1st class requirement to bring a friend to a troop meeting

      • National BSA website is good now!  Look up Webelos to Scout transition

    • Silver Beaver nominations forms due Nov 1st

      • Highest Award in the Council for Scouters

      • Need to submit complete applications

      • Nominee shouldn't know you are submitting a form for them so its hard to get info

    • Recharter due to soon

Outdoor/Activities Subcommittee Report

  • Marcy is working on updating reservations for Jan date change etc.

  • Emerald Bay Dates are secured!!

  • High Adventure -- Philmont (Mike)

    • Payment due soon

    • Will have leader meeting then all hands parent meeting to explain training, schedule etc.

  • Transportation (Carol)

    • Carol dropped off Wilderness permit for Patrick to check out alternative BP locations

  • Scouting for Food

    • Jacqueline needs to call Food Pantry

    • Need to send volunteers to set up in the morning

    • Need to send more volunteers to sort food in the afternoon

  • Equipment Coordinator (Stuart)

    • Inventory almost complete

    • need help from more knowledgeable leaders

    • Eric set up all the tents

    • need to schedule another date to double check (tents were missing poles at last outing)

    • Druez home has set of dirty backpack tents from past Philmont trek

    • We can clean these tents up and use them for troop trips

    • Could do the tent set up and inspection the same day as Scouting for Food

Finance Subcommittee Report

  • Kiko is up and running as new Treasurer

  • Popcorn Fundraiser

    • Scout participation was poor

    • Home Depot wasn't good for boothing

      • good for troop visibility

      • too many freebies from other booths to sell popcorn (even free popcorn!)

      • It was good to help Home Depot because they donated alot to Silent Auction

  • Annual Budget

    • Mike ran the annual budget

    • He presented financial reports

    • Printed annual budget is part of the new Quality Unit program

    • Currently troop will be about $1000 short for the year

    • PLC needs to come up with ideas for fundraising

Advancement Subcommittee Report (Lisa)

  • Mini-court of honor coming up in November

  • Scouts have mentioned that they want to keep track of Service Hours

    • Troopmaster database is a bit awkward in keeping track

    • Can easily keep track for some service projects

    • Better if Scouts keep a record themselves in their Scout books somewhere

    • Patrols could also keep paper records

    • Would be impressive to add up all the hours served by Eagle!

  • Advancement Boards - Newborns have them, Lisa has a call in to find out if they want to keep the job of updating them.  We need them updated for November's Mini-CoH

Uniform/Training Subcommittee Report

  • High Adventure (HAT) basic backpack training, we had several attendees!

  • Free woodbadge course tomorrow (couple of 22ers are going)

  • Need to update training in Troopmaster

    • Doesn't show "Trained" unless we have dates entered for all of the required training for the position

Membership Subcommittee Report (Judy)

  • Annual Meeting was Oct 16th

    • Meeting was a good meeting

    • Reviewed what the committee does

    • Didn't get new faces to join the committee

    • Will need to talk to people, need to beef up this committee

    • Committee is extremely important to the troop

    • Major responsibilities:

    • Recharter, BSA applications processing, Troopmaster data oversight

    • Adult volunteer jobs coordination, binders etc.

    • Recruiting and Retaining Scouts (Webelos, Non-webelos, bridgings, etc.)

  • Recharter (Tara)

    • We are rechartering with 48 Scouts so far

    • Money has been collected from 22 Scouts

    • Tara will follow up on those still owing

  • Words of Wisdom from Peg

    • Peggy has just written up job description for Recharter process

    • She is now passing down her knowledge and experience to Tara and to the Troop

    • Troop needs to double check with council after recharter (WLACC rosters don't always match the rosters turned in to them for rechartering)

    • Troopmaster database consistency

      • Only Tara should add adults to the troopmaster database

      • Adults in the database, have all filed applications with the council

      • If name is added to database we will lose track of who has filed paperwork

  • Ivy Acadamia Pack

    • School on De Soto wants to start a Pack

    • District Executive Wes Patterson is working with them to start the pack

    • Wes asked if Troop 22 would adopt the pack and we said yes

    • Troop 22 leaders and scouts went to 1st recruiting meeting Oct 19th

      • Meeting was successful and full tiger den and several older cubs are interested in joining

    • This Saturday (10/28) Wes is taking them on a hike at Serrania park

      • He needs a couple of Troop 22 Scouts and/or leaders to help him with the hike

      • Meet at Serrania Park at 9:30 am (shouldn't take more than a couple of hours)

      • Desoto turns into Serrania south of Ventura blvd

      • Serrania park is located at the corner of Wells and Serrania/Desoto

    • November 9th is 2nd Recruitment night, this time for cub scout and boy scout aged boys

      • We need a bunch of volunteers to help out

      • Barry will make a slide show to recruit boy scouts
