Troop Parent Committee Meeting Minutes

July 27th, 2006

7:30 - 9:00 pm, Gelsons

Attendance:

Roundtable Report (Michael H)

  • July Roundtable was Safe Swim Defense and Safety Afloat Training

    • Training was hands on, learning by doing and very effective

Scoutmaster Report (Janice)

  • Eagle Scout Progress/Status
    • Spencer S.
      • Passed his Eagle Board of Review!!!
    • Eric Z.
      • passed his Eagle Rank Scoutmaster Conference!!
      • Paperwork is on its way to Peggy
    • Sean D.
      • Eagle application turned in to SM for review
      • SM Conference to be scheduled soon
    • James M.
      • Project almost complete
  • Summer Camp Leader Meeting
    • Goal -- to have a great time, advancement will follow.
    • Monday is mandatory parent meeting for all going to Summer Camp
    • Saturday is mandatory pack check
    • Sunday meet at 9:00 for bus
  • New Scouts are visiting and joining
  • Annual Planning
    • PLC decided on outings
    • SM/SPL refined outing plans, mapped onto months
    • Final plans will be submitted to Committee for calendaring soon
    • Plans will include Philmont prep with split outings to accommodate both younger and older Scouts.
    • September outing is backpack trip, Janice will be Outing Leader
    • October outing is Council Patrol Challenge, Barry will be Outing Leader
  • Trail to First Class
    • In past we have purchased BSA thong with beads for trail to first class.
    • Scouts tend to lose the thong and the beads and it doesn't really work out
    • Still nice to recognize the small steps that lead up to the big step
    • Barry will build a Troop Trail to First Class Totem
    • We will purchase BSA thongs and beads but will keep them on the totem in the barn so they don't get lost!
  • Mandatory Parent Meeting -- No Scouts, Monday while Scouts are at summer camp.
    • Annual event
    • SM shows parents how things are run in troop
    • SM addresses any current issues in the troop
    • Parents can ask any questions they may have about Scouting
    • There will be cake!!

Finance Report (Mike and Sonia H.)

  • Troop Budget/Status
    • Significant Loss incurred from Summer Camp and High Adventure trips
    • Eagle Scouts cost the troop about $300 per Scouts and we have had A LOT!!! Hurray!
    • Kiko Sudit will take over from Mike and Sonia in August.  
  • Popcorn Report (Lisa and Michal)

    • attended kickoff meeting in May
    • meeting was nice: catered and prizes
    • meeting was well attended
    • Show and Sell order due Aug 23rd
    • We will use data from last year and projections for this year
    • Perhaps we should calculate per Scout and make order from that
    • Big popcorn Pep Rally meeting conflicts with our Troop's Dinner Dance
    • Drive runs from September 9th through October 24th.
    • Lisa and Michal will get dates to Rayna for Calendar
  • Dinner Dance (Catherine)
    • Some donations are in but still need more
    • Business donation letters going out
    • Need help from Patrol Advisors to help Scouts organize their patrol donations
    • Simple Program Booklets
      • Some businesses have asked to place add in program booklet because they don't have any good items for the silent auction.
      • Catherine will make very simple program booklet
      • We plan on anywhere from 100 to 200 people attending
    • Invitations will go out before next committee meeting
    • Price for tickets was discussed, same as last time seems reasonable, will finalize via email

Outings Report (all)

  • Summer Camp
    • Everything is fine
    • Leaders are excited
    • Pack check 4-6 Saturday
    • Barry will be there at 3 to unlock the doors and start AC
  • High Adventure
    • Returned safely from Florida
    • Had a great time!
  • New volunteers taking over.
    • Brian Compton -- Outings Subcommittee Chair
    • Stuart Barney -- Equipment Coordinator
    • Michael Henderson -- Summer Camp Coordinator and High Adventure Coordinator

Advancement Report (Lisa)

  • Lisa is training Jill to take over the Advancement Database job    

Membership Report (Judy)

  • Cub Scout day camp – Article in Daily news about our very own Evan B. and his role in Cub Day Camp. 
  • Tara Shuler to take over Membership Database and Recharter job.  Hurray!!
  • Still need volunteers for New Scout Recruiting subcommittee.

Communications Report (Rayna)

  • Weekly email has been transferred to Sonia.  THANKS SONIA!!!
  • Its Calendar time!
    • August Parent Meeting will be at Jill's Home
    • We need everyone to attend this meeting
    • We will provide desserts
    • We will vote on final calendar
    • Goal is to have draft calendar available on the website next week
    • Need items from SM
    • Need WLACC 2007 calendar

Uniform/Training Report ()

  • Sewing Social was a success! 
    • Completed 9 neckerchiefs. 
    • Need to document process better. 
    • Rayna and Lisa will meet to complete the documentation.
    • Colette has the Sewing Social box
    • Colette will take over and run next event in January!  Hurray!!

Other Business (Peggy and all)

  • Committee Org Chart looks great!  Only a few jobs left to fill.
  • Thanks to all who stepped forward to take on these jobs!!
