Troop Parent Committee Meeting Minutes

February 23rd, 2006

7:30 - 9:00 pm, Gelsons Calabasas

Attendance:

Peggy, Michael H, Sonia, Joe, Barry, Rayna, Lisa, Judy, Jill

Roundtable Report (Barry & Michael)

  • Camporee  -- April 2006

    • Theme is:  "Be Prepared -- Be a Survivor"

    • Troop 22 signed up for Event #19 Rope rescue 2

    • This is a Bulls only event (usually small group)

    • Barry has the materials for this event

    • We will need volunteers to take shifts to run this event

    • Michael has made copies of Camporee booklets

    • Booklets will be handed out at Troop JLT this Saturday

    • Booklets should also be available on District website

    • Fees: Due by March 10th, $12 per person (Scouts and Leaders) plus $10 per unit

  • District personel turnover

    • We have new District volunteers (commissioners)

    • We lost our District executive (Paul)

  • Council Patrol Challenge 2 set for October

SM Report (Barry for Patrick)

  • Very Busy calendar in next couple of weeks!

  • Troop JLT this Saturday at Sage Ranch 9-12

  • Troop ASM Meeting this Saturday - Sunday at Sage Ranch

  • Troop ASM Training coincides with ASM Meeting above

  • Flag Pole Installation Saturday 1:00 pm

  • Install flag pole at Druez home

    • Gift from troop to Druez family for all they do for us

    • ASMs not available to lead because they are at their ASM Meeting

    • We need trained committee members to leader this!!

    • SPL already recruiting Scouts to participate

    • Peg volunteered to supply lunch to particicpants!

    • Bob Soyster will do the lighting

    • Scouts will dig a large hole, put layer of sand, layer of gravel, plastic receiving pipe and then fill with concrete (the hole... not the pipe).

    • Each Scout asked to bring one 90 pound bag of concrete

      • We need about 20 bags of concrete

      • Can get them at Home Depot

      • They cost about $3 each

      • They are heavy and build strong muscles!

  • Snow Shoe Outing (Bob Czubiak is the Outing Leader)

    • Some snow shoes are built

    • The design seems good

    • Need to finish building them but we're out of time!

    • Bob has been collecting Permission Slips

    • Will get final count at Court of Honor

    • We need a Local Tour Permit to be filed for this

  • Free Car Wash Fundraiser

    • at the last PLC the Scouts discussed trying out a new fundraiser

    • They will run a car wash at the Solomon's shop

    • Each Scout will get sponsors (like jogathon etc.) either an amount per car washed or a flat donation collected from family, friends, neighbors etc.

    • Then we wash the cars for free.

    • We sell food to them while they wait for their car to be washed

    • We sell pancake breakfast tickets too!

    • Many people getting a free car wash make a donation or tip

    • The date the PLC chose was in conflict with Alexander's Eagle Court

    • We set tentative new date for May 6th

    • This is the Saturday before the pancake breakfast

    • We won't have access to the hot dog cart because it is Saturday so we will need to figure something else out

    • Our calendar is so crowded we can't find a date for new things!!

  • Patrol Outing to Midway

    • This outing is being set up by David T and Terry M

    • It is a patrol outing for the Wolves and Wolverines only

  • Camporee (Barry B is the Outing Leader)

    • Pack 333 Webelos 1s will be camping with us

    • Need to invite other packs Webelos asap

  • Summer Camp (Bob C is Outing Leader)

    • We need to determine which leaders are going (will depend on incoming Webelos)

    • We need payments asap -- we are behind in collections and payment is due soon

  • Florida Seabase (Joe P is Outing Leader)

    • Looking for Scouts and leaders for 2nd crew

    • Probably will have to cancel 2nd crew

    • We need a commitment by Court of Honor

  • Scout Sabbath at Prince of Peace

    • Big success!

    • Several Scouts attended service in full uniform

    • Troop made a small donation to the church

    • Other Scouts and leaders were outside manning dutch ovens

    • Served dutch oven cobbler for about 150 people!

    • Thanks to Moose & Paula for helping out with the dutch ovens!

    • Great interaction with the church

Finance Subcommittee Report

  • Financial reports were presented and reviewed

  • In Feb/Mar we have a lot of expenses coming

  • We have a cash flow problem -- we need to collect non-refundable payments due

  • We are behind in receiving payments for Summer Camp and Florida and have payments for both of these upcoming

  • Wanted to pick up the per person charge for Camporee, but we don't have the funds for this. 

  • Must charge each Camporee participant and collect asap as payment is due in a couple of weeks.

  • Credit Card payments: it was brought up that it would be nice if the troop could accept credit card payments.  We are looking into this.

  • Fundraisers obviously really needed!

  • Free Car Wash (discussed above under Scoutmaster Report)

  • Worlds Finest Chocolate

    • It was brought up that this ongoing fundraiser can be quite profitable

    • We were looking for an item that wasn't so expensive to sell

    • Want to follow BSA guidelines.  (Can't sell name brand product in BSA uniform)

    • Jill volunteered to look into this for us, we will work on it on Mondays and hopefully have something to vote on by next Parent Committee Meeting.

    • A Scout promises to "keep myself physically strong" so we would have to address the problem of having candy bars around all of the time!

  • Monte Carlo night

    • currently scheduled for August 26th, 2006 at the Malibu Racquet Club

    • Rayna will put this on our troop calendar

    • Save the date!

  • Pancake Breakfast

    • Good fundraiser because of interaction with Prince of Peace

    • We need a parent volunteer to head this up

    • We have done this fundraiser for years and its easy to run

    • We just need someone that will focus just on this fundraiser

Outings Subcommittee Report

  • Outings Subcommittee Needs Volunteers

  • Discussed outings during Scoutmaster Report time

  • Permission slips will be available at Court of Honor

    • Customized packing lists on back of Permission Slips -- look each time!

  • May River Rafting Outing (Bill M. is Outing Leader)

    • Planning is going well for this outing

    • We may not be able to do the shooting part of this outing

    • Bill is searching for rangemasters willing to support us

    • Also looking into alternative events for the outing

    • No matter what the Rafting will be cool and we will have another cool event too

    • Cost of $60 per person needs to be collected asap

Advancement Subcommittee Report

  • Court of Honor

    • Agenda looks good, booklet looks good

    • Made some changes to booklet -- Lisa will talk to Steve

    • Judy will call all Scouts with speaking parts from the agenda

    • Will we have posters for Florida or Whitsett?

    • Need to use Family File Folders for all handouts

      • passing flyers around is time consuming, boring and distracting

      • Rayna will make sure Family File Folders are up to date and add names for new families

  • Troopmaster -- new version up and running

    • waiting for instructions to be written up by Joe

    • then can download new and improved troopmaster

    • then can update attendance

    • then can input driver information

Membership Subcommittee Report

  • Judy and Rayna will meet this weekend to finish up the Scout and Parent binders

  • Judy will contact other packs to invite them to Camporee with us or to visit us

  • Pack 175 may visit us Mar 6

  • 8 Scouts bridging in from Pack 333 2/28/06

Communications Subcommittee Report

  • Help needed:

    • Photo Website webmaster also mentor to Historian

    • Phone tree representatives

      • Tiger rep: Jill volunteered

      • Top of Phone Tree: still available!

Uniform/Training Subcommittee Report

  • T-shirt/Hat Order

    • June will have T-shirt etc. order form by Court of Honor

    • Scouts designed new Camp hat

    • June is working on finding a supplier etc.

    • Hats will probably be about $10 and will be on the T-shirt order form

  • Uniform Inspection

    • Get out your sewing kits!  We will have a uniform inspection in March in preparation for Camporee!

  • Training

    • ASM Training this Saturday

    • Looks like we will get several leaders trained

    • ASM training needed to go on outings -- even if you are a committee member
