Troop Parent Committee Meeting Minutes

September 22nd, 2005

7:30 - 9:00 pm, Starbucks at Fallbrook/Victory

Attendance:

Peggy, Patrick, Michael, Sonia, Barry, Rayna, Lisa, and Judy

Roundtable Report

  • Recharter

    • Much of roundtable was discussing the upcoming recharter drive

    • Huge THANK YOU to Marian G. who will be assisting Peg with recharter this year for the troop!!!

    • We will hopefully use this year to transition this job from Peg to Marian

  • Summer Camp

    • Three Falls has 3 new climbing walls

    • Possible location for the November outing

  • World Jamboree

  • CERT Training

  • Mountainman Rendevous postponed

  • Nominations for District Award of Merit and Silver Beaver

    • District award dinner June 3, 2006

    • email criteria

  • Outdoor Leader skills training offered

SM Report

  • Election results distributed

  • SM commuting to Stockholm, wedding etc. i.e. not a lot of availability

  • Fishbowls outing:  should be good weather, all set for outing

  • Council Scavenger Hunt

    • Troop paid and registered

    • Scouts need to work on Local Tour Permits

    • Monday skill: how to fill out a Local Tour Permit

  • November Outing: San Diego & Climbing Wall

    • May be trying to do too many things in one outing

    • Talk to Scouts about separating San Diego trip from Climbing Wall trip

    • Camp Three Falls in Frasier Park has great climbing walls

    • Cost to travel to San Diego is very high, especially for only one night

    • Dave D. is outing leader on this.

    • We need to get moving on details and options asap!

  • Recruiting Essential

    • Troop will graduate ~15 scouts this year!

    • Recruiting is always needed

    • Don't forget kids who have never been in Scouting!

    • Invite Webelos to December and March backpack outings

Finance Subcommittee Report

  • Financial reports were presented and reviewed

  • Jerry will meet with Sonia to go over troop receivables

  • Recharter money is coming in now

  • Need Florida Seabase payment schedule

    • Need commitments for Florida Seabase trip now.

  • Popcorn

    • great job by our popcorn kernels Catherine and Judy!

    • email popcorn sales now working, call Judy, sell to family far and wide!

  • Garage Sale

    • need volunteers

    • need easy-ups

Outings Subcommittee Report

  • Outing Leaders

    • Now have calendar with monthly outings and ASM assignments

    • Each outing has 1 ASM assigned as Outing Leader

    • Each outing has 1 person assigned as Food Coordinator

    • Need to have 3-4 outings in the pipeline at a time

    • Need Outing Leaders to attend Parent Committee meeting for 3 months preceding their outing and hopefully 1 month following their outing (plan, do, review)

  • New Troop Outing Adult Food Policy

    • Adult Food billed by committee, payable to Troop 22

    • Adults can pay in advance or outing to outing.

    • ASMs etc. happy about new Adult food policy

    • Will use new policy for Fishbowls backpack trip

    • Should establish a troop "staples" box to be passed from food coordinator to food coordinator and containing spices, coffee, etc.

Advancement Subcommittee Report

  • Sept Court of Honor

    • overall success, great style of court of honor

    • fun format

    • need to supervise Scouts serving themselves food better

    • parents didn't get called up for Rank advancement

    • this caused serious disappointments

    • committee will make sure this happens next time

    • should also have Den Chief recognition

    • Should we hold off awarding badges of rank until the next Court of Honor?

  • Eagle Scouts

    • ~4200 worth of Eagle recognition coming up this year

    • need to put on another huge fundraiser like the barn raiser dinner dance

  • Attendance

    • hasn't been getting done

    • is the job of the Scribe (see BSA documentation)

    • keeping sheets with Scribe is problematic

    • New way -- have attendance sheets in Troop Documents box

    • Scribe or substitute will record attendance on sheet from documents box

    • Once filled out Scribe will put completed attendance sheet into "completed" file in documents box

    • Periodically adult attendance database person will collect the sheets and enter them into the database.

Membership/Communications Subcommittee Report

  • Still working on binders...

  • Will work with new Historian for better recording of troop events

  • Will try to keep up and not get behind.

  • Photos to go on website each month

  • At Sept Court of Honor, all photos put on DVD for troop members

Uniform/Training Subcommittee Report

  • New training flyer

Other Business/Follow Up

  • Parent Appreciation Dinner
    • It was absolutely terrific! 
    • We will add this to the calendar for next year and the template for following years
  • Troopmaster 2005.  Should we upgrade/purchase.
    • Voted to upgrade.
    • Cost is now annual instead of one time
    • Can make database match a Scouts book this is invaluable!
  • Jamboree Retroactive Camperships Donation
    • voted to donate $1000 to WLACC for camperships for Troop 22 Scouts who attended Jamborree
