Troop Parent Committee Meeting Minutes

March, 24th, 2005

7:30 - 9:00 pm, Starbucks at Fallbrook/Victory

Scoutmaster Report

• There is a problem with scouts not attending outings and PLCs.

• A mandatory parent meeting is now on the calendar for the first Monday meeting in April.

  • We need to get communications out regarding this via email and the phone tree.

  • Patrick will work on the content however those in attendance discussed the meeting and notes are below.

Roundtable Report

• Peggy was unable to make the last roundtable meeting.

• It is important that an ASM or two attend the next meeting to gather information on Camporee.

Finance Subcommittee Report

• Money is in the bank, however payments are coming up for summer camps that will take the amount in the balance down.

• We need to start communicating with families regarding amounts owed.

• Cookie Dough Fundraiser postponed until May

Outings Subcommittee Report

• April Outing: Camporee

  • The paperwork is in the council office.

• May Outing: bike trip

  • This is being worked on.

  • Jerry will need to get a copy of the insurance faxed over if it doesn’t come in the mail soon.

• June Outings:  Swim check for summer camp and canoe trip for scouts going to Northern Tier

  • These are two separate outings and will need two separate trip slips.

• Summer Camp Emerald Bay

  • The sign-ups for summer camp are low

  • We currently have 21 signed up for the 35 slots we are holding.

  • If we don’t release some shortly, we will have to pay.

  • It was agreed that the number of positions held would be reduced to 30.

  • The list of scouts was reviewed to see who was missing summer camp and an effort will be made to follow-up with these scouts.

Advancement Subcommittee Report

• February Court of Honor

  • All agreed that it went well and things worked smoothly.

Membership/Communications Subcommittee Report

• All going well

Troop Advisors/Training Subcommittee Report

• Only 2-3 ASMs have taken the mandatory Youth Protection Training on line.

• Patrick has said that training needs to be up to date if people will be attending Camporee and that it is important for all adults who have contact with Scouts (both ASMs and members of the committee) are trained yearly.

Other Business/Follow Up

• Summer camp invoices will be going out within the next month or so per Jerry; he will coordinate with Judy.
• Rayna to send emails out regarding mandatory meeting and initiate the phone tree prior to the meeting to make sure all families are aware.  The phone tree talking points include:
  •  Mandatory Parent Meeting, Monday evening April 4th at 7:15 (get a commitment or ask them how they will reach Patrick – we need an RSVP list!)
  • If you are an ASM or active member of the committee, it is critical you take the Youth Protection training on a yearly basis. Ask Sandra Sigman if you have questions regarding how to get trained.
  • Summer camp is important – is your scout signed up? Information will be available at the mandatory meeting. If finances are an issue, please talk to the Scoutmaster or the Parent Committee Chair and we will find a way to get your scout to camp.
• Bruce Newborn is working the summer camp list.  Patrick will follow-up with the newer scouts and any that join the troop within the next couple of months.
• MANDATORY PARENT MEETING KEY MESSAGES:
  • ADVANCEMENT MEANS ATTENDANCE – meetings, OUTINGS, summer involvement; active involvement with and support for your patrol is important! Scouts will not advance if they are not active. (This goes for scouts trying to reach Eagle as well.)
  • WHAT DOES IT MEAN TO HAVE A LEADERSHIP POSITION – It is more than just getting elected. Scouts need to attend the monthly PLCs and then communicate and work with their patrol members as needed
  • A SCOUT IS COURTEOUS (and we need parents to be aware as well) - There is a lot of work that goes on to prepare outings and meetings and PLCs.  When scouts don’t show up or don’t fill out paperwork in a timely manner (if at all!) this causes people to scramble behind the scenes and can even cost the troop money (lost camp fees due to overbooking, etc.) or endanger your scout (missing or out of date medical forms).  Parents, please be aware of the calendar and help your scouts make outings and meetings and turn in paperwork on time.
